Marketing Operations Coordinator

The Marketing Operations Coordinator is an integral part of the team that supports Marketing Operations and PR leadership to execute trade marketing strategies for a portfolio of industry leading, family owned wineries. The Marketing Operations Coordinator will bring exceptional communication skills and attention to detail to manage multiple projects simultaneously. They will regularly be in touch with the sales team, winery contacts, press and event organizers.
This is a full-time, salaried position with benefits located in our Oakland office.

Job Duties:
Marketing Operations
Press sampling: operations & logistics (25%)

Know sampling planning and calendars for the main trade publications; manage deadlines and handle day-to-day sample mailings in coordination with Shipping Coordinator

Produce annual sampling plans per brand for the major scoring publications

Gather technical and other information for large-scale sample mailings in liaison with the Communications Manager

Work with suppliers and internal colleagues to coordinate arrival of new samples

Monitor shipping budget: review quarterly and suggest ways to stay on track

Manage sampling logistics in liaison with the Director of Marketing Operations
Winery Visits (20%)
- Coordinate with hospitality managers and sales teams to arrange winery visits
- Maintain calendars, spreadsheets and forms up-to-date
- Ensure timely and smooth communication between the parties
POS (20%)

Maintain calendar and track incoming shipments

Track monthly budgets including invoice coding, auditing

Review on-hand inventory on a regular basis and ensure all items are current

Manage relationship with vendors and place re-orders in a timely manner

Collaborate with DOM to develop special display projects, new POS items and deliver within deadlines

Support MMD sales members on order processing

Support special requests from National Sales team as needed
Supplier Visits (15%)
- Ensure Market Visits Calendar is up-to-date
- Coordinate itineraries, logistical timelines and visitor details for winemakers and managers
- Coordinate hotels/flights/transportation on an occasional basis
Events (15%)

Support execution of a range of corporate, publication, philanthropic and trade organization events, with direction from DMO and Communications Manager

Support the execution of the bi-annual National Sales Meeting

Occasionally pour wine at events

Assist with hotel accommodations and flight booking as needed

Assist in tracking budgets
Tech sheets & winery information (5%)
- Gather brand and wine technical information from suppliers
- Suggested Retail Pricing (SRP): calculate, gather approval, and distribute pricing used for PR/communication, marketing & sales purposes
- Update and manage the marketing folder in our sales external drive (Dropbox)
What you bring:

Bachelor’s degree with a major in Business, Communications, or Marketing (or related field of study)

2-3 years of relevant experience in a marketing related or operational role

A strong interest in wine and the industry. Prior experience in the wine industry is strongly preferred. WSET certification is a plus

Highly organized and reliable, with an interest to work as part of a dynamic team in an international environment. Manage multiple projects at once across departments and meet critical deadlines

A commitment to excellence and high integrity

Ability to work occasional evenings/weekends and lift 40 lbs. cases of wine
-
Must live in the Bay Area. The position is based in Oakland and reports to the office Monday-Friday

Ability to occasionally travel as a winery representative to trade events (nationally)
